Pricing a handmade product seems simple enough.
Add up your materials. Estimate your labor. Account for machine time. Add a margin.
But that number often doesn't represent what it actually costs to sell the product.
Packaging, failed production, marketplace fees, shipping, equipment and your own time can quietly consume what looked like a healthy profit.
A pricing calculator can help you calculate a price. The important part is making sure you're giving it the right numbers.
Let's look at the costs makers most often miss — and how to account for them without turning your workshop into an accounting department.
Start With the Obvious Costs
Suppose you sell a product for $40 and it contains $8 of materials.
It's tempting to think:
$40 - $8 = $32
That's not profit.
We still have to make, sell and fulfill the order.
Your time
Count the time you're actually working on the product: setup, assembly, finishing, inspection, packaging and other hands-on tasks.
A simple formula is:
Labor Cost = Hands-On Minutes ÷ 60 × Hourly Rate
If you spend 20 minutes on a product and value your production time at $30/hour:
20 ÷ 60 × $30 = $10 labor
Be careful not to confuse machine time with labor. A printer running unattended for four hours isn't four hours of your labor.
Machine and equipment time
Machines aren't free simply because you already own them.
Electricity, maintenance, consumables, repairs and eventual replacement all cost money.
You don't need a perfect depreciation model. For equipment that materially affects your costs, a reasonable hourly operating rate is usually enough.
If a machine costs roughly $2/hour to operate and runs for 90 minutes:
1.5 × $2 = $3
That's separate from your hands-on labor.
Account for the Stuff That Goes Wrong
Manufacturing has waste.
Prints fail. Wood splits. Paint gets damaged. Materials have defects. Sometimes we simply make mistakes.
If those failures happen regularly, successful products have to pay for them.
Suppose a product costs $10 to manufacture and your historical failure rate is around 5%.
Making approximately 105 units to sell 100 costs:
105 × $10 = $1,050
Spread across 100 successful products, that's effectively:
$10.50 per product
You don't have to track every mistake forever. A reasonable allowance for predictable waste is enough.
Don't Forget Packaging and Fulfillment
Boxes, mailers, labels, tape, protective material and inserts seem insignificant individually.
Together, they're not.

At 500 orders per year, overlooking $1.08 per order means overlooking $540 in expenses.
Shipping works the same way.
If postage costs $7.80 and the customer pays $4.95, your business is covering:
$7.80 - $4.95 = $2.85
There's nothing wrong with subsidizing shipping. Just make sure it's intentional.
Marketplace Fees Matter
Selling on Etsy, eBay or another marketplace adds another layer.
Depending on where and how you sell, you may encounter transaction fees, payment processing, listing fees, advertising fees, promoted listings and other charges.
And percentage-based fees increase with the selling price.
If your effective selling fees were 10% for a particular transaction:
$40 × 10% = $4
The exact same product can therefore have different profitability depending on where it's sold.
That's why “$40 sale” and “$40 of revenue for my business” aren't the same thing.
Discounts Can Be More Expensive Than They Look
Here's one worth understanding.
Suppose a product normally sells for $50 and leaves you with $15 profit after its costs.
You run a 20% sale.
The customer now pays $40.
But your materials, labor, packaging and most other costs haven't fallen 20%.
If those costs still total roughly $35:
$40 - $35 = $5 profit
Your price fell 20%.
Your profit fell from $15 to $5 — about 67%.
That's why discounts should be tested against profit, not simply the selling price.
Custom Work Has a Hidden Cost: Attention
A customer asks for a small modification.
The additional material might cost almost nothing.
But then there are messages, a proof, revisions, special instructions and a change to your normal production process.
Twenty extra minutes at $30/hour represents:
20 ÷ 60 × $30 = $10 of additional labor
That doesn't mean custom work is bad. Custom products can be extremely profitable.
It means custom work needs to pay for being custom.
Put It Together
Let's go back to our original $40 product.
Here's a more realistic picture:

That's very different from the $32 we saw after subtracting materials.
And that's the real problem with overly simple pricing calculations.
The math isn't necessarily wrong. The inputs are incomplete.
There's One More Number Worth Knowing
Profit per product matters.
But makers have another scarce resource:
Time.
Imagine these two products:

| Profit | $25 | $20 |
| Hands-on time | 45 min | 10 min |
Product A appears more profitable.
But calculate profit relative to your hands-on time:
Product A: $25 ÷ 0.75 hours = $33.33/hour
Product B: $20 ÷ 0.167 hours ≈ $120/hour
Suddenly Product B looks very different.
This doesn't automatically make it the better product. Demand, machine capacity and sales volume matter too.
But it exposes something a basic pricing calculation can't:
A product can be profitable and still be a poor use of your time.
Don't Chase Perfect Numbers
You don't need to know that one product consumed $0.037 of electricity.
You don't need to measure tape by the inch.
And you probably don't need to distribute your internet bill across every product in your catalog.
Start with the numbers that materially affect your decisions:
- Materials and normal waste
- Hands-on labor
- Significant machine costs
- Packaging
- Marketplace fees
- Shipping
- Advertising when applicable
Useful numbers beat perfect numbers.
Go Beyond the Price
Knowing that a product costs $12.43 to make is useful.
But once you have good cost information, much more interesting questions become possible.
Can you afford to run a sale?
Does free shipping still work?
Is wholesale viable?
Which products have the strongest margins?
Which products consume too much of your time?
And eventually:
What should you spend your next hour making?
